Job Summary

We are looking for a detail-oriented and organized Marketing Admin Assistant to support the execution of marketing and brand-related promotions. The role will be responsible for coordinating activation requirements, liaising with internal teams and external suppliers, processing documentation and payments, and ensuring that marketing transactions are properly tracked and completed within agreed timelines.

Key Responsibilities:

Support the preparation of pre-execution and post-execution requirements for marketing and brand activations.
Coordinate with internal customers and external suppliers regarding production, delivery, and execution timelines.
Encode SFWA, sample recommendations, and bundling programs into designated systems and platforms.
Prepare and process payment authorizations and payment documents for signatures and approvals.
Track payment documents from submission through confirmation and ensure timely processing.
Process documents related to the liquidation of promotional expenses.
Monitor and update company platforms to ensure all transactions are properly recorded and closed within the agreed service level requirements (SLAs).
Prepare Manual Purchase Requisitions (PRs) and Manual Purchase Orders (POs) for materials required for marketing programs.
Ensure that marketing-related expenses are properly charged to the appropriate Division/Group operating expenses.
Coordinate with relevant teams to resolve documentation, payment, procurement, and activation-related concerns.
Perform other administrative and coordination tasks related to marketing programs and brand activations as assigned.
